Before You Start

      Important Reminders:

Grants.gov proposals must be submitted ONE WEEK prior to the agency’s posted deadline.  This advance submission will allow time to correct any errors that may be detected by the agency.

NSF does not accept applications through Grants.gov for the following types of transactions:
Changed/Corrected Applications
Revision
Continuation

Proposal Format

         PDF Files

NSF requires all text attachments to be submitted as PDF files.  The PI should prepare text attachments using MS Word and then convert those files to PDF before sending to the Proposal Administrator.  DO NOT Use Adobe Acrobat PDFWriter, Blocked PDF Producers or Adobe Acrobat Encryption or Security Settings.  These programs do not produce acceptable PDF files, except under very limited circumstances.  To create and upload a PDF file, use Adobe Distiller or Ghostscript.

Proposal Pagination Instructions

Each section of the proposal that is uploaded as a file must be individually paginated before it is uploaded into Grants.gov.

Font and Page Margins

Type density can be no more than 15 characters per inch.

Type may be no more than six lines per inch.

Margins, in all directions, must be at least one inch.

Page Limits - Standard NSF page limits apply.

Page Numbers – Each section needs to be page numbered starting with page 1.

Required Sections

Below is a list of the files that need to be sent to the PA to complete the Grants.gov submission:

Project Summary

Must be one page and it must clearly address in separate statements (1) the intellectual merit of the proposed activity; and (2) the broader impacts resulting from the proposed activity.

Project Description

Must be no longer than 15 pages.
Address Results from Prior NSF Support
Read program specific guidelines for detail on what should be contained in the description

Bibliography & References Cited

Provide a bibliography of any references cited in the Project Narrative.

Facilities and Other Resources

Identify the facilities to be used (laboratory, animal, computer, office, clinical and other).

Equipment

List major items of equipment already available for this project and, if appropriate, identify location and pertinent capabilities.

Research & Related Senior/Key Person Profile

The PA will complete a sheet in the proposal for each person listed on the RESEARCH & RELATED Senior/Key Person Profile.  Senior/Key Personnel are defined as all individuals who contribute in a substantive, measurable way to the scientific development or execution of the project, whether or not salaries are requested.  Consultants should be included if they meet this definition.

Biographical Sketch

Provide a biographical sketch for each senior/key person.  Recommended information includes – Education and Training, Research and Professional Experience, Collaborators and Affiliations (for conflicts of interest), Publications and Synergistic Activities.  Limited to two pages.

Current and Pending Support

Provide a list of all current and pending support for the senior/key personnel (even if they receive no salary support from the project) for ongoing projects and pending applications.

NOTE:
No more that 4 co-PIs should be identified on an application to NSF.  If more than 8 senior/key person biosketch profiles are proposed, provide all biosketches in a single PDF file.  If more than 8 current and pending supports are proposed, provide all current and pending support in a single PDF file.

Budget Information

BUDGET INFORMATION – The Proposal Administrator will prepare and upload the budget into Grants.gov.  Please communicate your budget information to him or her early in the process.

Subcontracts:

If subcontracts are involved, detailed budget information will be needed from them before the total budget can be finalized.

Information needed from subcontractors:

*Current and Pending Support
*These items need to be mailed in hard-copy format from the subcontract institution.

Within the Grants.gov proposal, there is a budget form for each subcontractor.  The PA will e-mail that form to the subcontractor to complete.  They will return it to the PA who will then upload it into the Grants.gov proposal.  This must be done early in the process.

Approval Process

AFTER THE PROPOSAL IS SUBMITTED

The Authorized Representative (AR) and the PI will receive a confirmation message from NSF within 60 hours.
